Terms of Service

The legal framework governing your use of the Schooleasy Smart Management ecosystem.

Last Updated: October 2025

1. Acceptance of Agreement

By registering for a Schooleasy account or using any of our services (Web, Windows, macOS, Android, or iOS), the educational institution ("Institution") agrees to be bound by these Terms of Service. If you are entering into this agreement on behalf of a school, you represent that you have the authority to bind such entity to these terms.

2. Scope of Service

Schooleasy provides a comprehensive ERP suite including but not limited to:

  • Admissions & Enquiries
  • Attendance & Timetables
  • Payroll & Fee Collection
  • Transport & Inventory
  • Examinations & Results
  • Staff Logs & Assignments

3. Data Ownership & Responsibility

Institution Ownership: The Institution retains all rights, title, and interest in and to all student, staff, and financial data processed by the software. Schooleasy acts only as a data processor.

Compliance: The Institution is responsible for ensuring that its use of Schooleasy complies with all local educational regulations and data protection laws.

4. Subscription, Billing & Payments

Billing Metric: Subscriptions are billed based on the total number of active student records and the selected feature tier (Starter, Pro, or Managed).

Payment Terms: Fees are non-refundable and must be paid in advance (Monthly or Annually). Failure to pay may result in temporary suspension of the Access Control and Payroll modules.

5. Service Level Agreement (SLA)

We strive to maintain a 99.9% uptime for our cloud infrastructure. Maintenance windows for major updates (e.g., new Academic Year rollouts) will be scheduled during non-school hours, with 48-hour prior notice via the Announcements module.

6. Termination & Data Portability

Cancellation: Institutions may terminate their subscription with a 30-day written notice.

Data Export: Upon termination, Schooleasy provides a 15-day window for the Institution to export all records (Attendance, Results, Staff Directory) in standard CSV or Excel formats to ensure continuity of school records.

7. Limitation of Liability

Schooleasy shall not be liable for any loss of data resulting from hardware failure at the Institution's end, or for errors in report cards and payroll results due to incorrect data entry by the Institution's staff.
